Terms, Conditions & Booking Contract

The purchase of any of our travel services constitutes a contractual agreement and implies your acceptance of the terms and conditions below. In this agreement, “our company” means Nile Cruise Egypt Co., the sole owner of www.nile-cruise-egypt.com. Please make sure you have carefully read and understood these terms before making your reservation. This contract supersedes any previous contract.

Package advance deposit

The travel package price must be paid by the final payment due date. Alternatively, you may make a deposit and benefit from our price and availability guarantee, or from a promotional discount for early booking.

Final payment

Final payment of 100% of the travel package price must be received at least 45 days before the arrival date, so that we can confirm your package and pay our tour operators.

For reservations placed 45 days or less before the tour date, a non-refundable rush booking fee of US$25 per booking will be charged.

Remaining payment upon arrival

Where any remaining payment is due upon arrival, the client agrees to make that payment. Otherwise the package will be cancelled automatically and any deposit already made will be considered non-refundable.

Cancellation charges

Cancellation charges may apply on the following basis:

Please note: in some cases a non-refundable deposit or non-refundable full payment is required to guarantee space on certain cruises or flights, regardless of the booking date. Where this applies, the non-refundable amount stands regardless of the cancellation or booking date.
Example: a client books on 1 May for a cruise starting 1 October, and the cruise requires a 50% non-refundable deposit. If the client cancels on 1 June (four months before the cruise), the 50% charge still applies, regardless of the booking date, cancellation date or cruise date.

The cancellation charge is liquidated damages to compensate the tour operator for prepayments made on advance bookings and for the administrative cost of processing a cancellation. It is a genuine estimate of that cost and is not a penalty.

Cancellation of a booking

Very important: cruise vouchers, flight tickets and other service vouchers are usually issued 15 days before the package start date. However, if the client asks for a voucher to be issued and sent to them, that payment becomes non-refundable and non-cancellable, regardless of the other booking terms and conditions.

Where the voucher(s) have not been issued, a 25% non-refundable charge plus the normal cancellation percentage corresponding to the date of cancellation will be deducted from the amount paid.

Example: a client books six months in advance on an invoice of US$1,000 and receives a 30% discount, paying US$700. If they cancel 50 days before the start date, the charge is: non-refundable charge 25% + 50-day cancellation charge 15% = 40%. Amount deducted: US$700 × 40% = US$280. Amount refunded: US$700 − US$280 = US$420.

Refund process

Any refund will be made within a maximum of 30 days from the confirmed cancellation. The delay allows time to collect the refund back from the Nile cruises, which can take some time, but it is guaranteed not to exceed the 30-day period.

Unused services

Our company is not responsible for any unused portions of your tour and cannot refund any monies for them.

Errors and mistakes

We do our best to ensure accuracy in our invoices and vouchers, but mistakes can happen. Where a mistake occurs, the following rules apply.

A. A calculation error that results in an overpayment by the client

Our company will refund the excess payment upon arrival.

Example: the package costs US$1,000 but the invoice was issued at US$1,050 and already paid. The US$50 surplus will be refunded upon arrival in Egypt.

B. A calculation error that results in an underpayment by the client

Our company will offer the client a choice: a full refund of the payment already made and cancellation of the booking, or payment of the shortage to correct the mistake and continue with the booking.

Example: the package costs US$1,000 but the invoice was issued at US$950 and already paid. The client chooses either to pay the US$50 shortage or to take a full refund and cancel.

C. A typing error in the description of the package or an item

The mistake will be corrected immediately and the client informed. If the client does not accept the correction, a full refund will be made and the booking cancelled without penalty.

Example: the agent wrote that a hotel is 4-star when it is in fact 3-star. The client is informed immediately and given the choice to accept the correction or take a full refund and cancel.

D. An item left out in error

An item that was forgotten will be added to the package immediately if it has already been paid for. If it has not been paid for, the client is given the choice to add it or leave it out.

Example: the client asked for an extra trip to Abu Simbel but the invoice does not mention it. If already paid, it is added immediately; if not, the client chooses to add and pay for it, or to cancel the trip.

Client changes to a booking

A passenger wishing to change their booking must notify our company immediately. An administration charge of US$25 per booking may be applied. If a cancellation by one or more people in your group alters the room category, the remaining passenger(s) must assume the difference.

Our changes to a booking

Occasionally, due to circumstances beyond our control, we may have to change your travel arrangements. We will advise you as early as possible. Our company cannot be held responsible for changes initiated by airlines, coach companies, hotels, transfer operators or other independent parties contracted for services you have purchased. If confirmed goods or services are no longer available before the arrival date, our company reserves the right to substitute them with comparable goods or services. In the event of a cancellation by our company, our liability is limited to reimbursement of the price of goods or services paid by the client.

Package rate

Prices are quoted in US dollars (US$) unless otherwise indicated. Tour prices do not include the cost of obtaining a passport or visa, excess baggage fees, personal expenses such as travel insurance, laundry and room service, alcoholic or other beverages not included with meals, gratuities to your Egyptologist guide, communication charges, local airport charges and taxes, any airfares unless specifically noted in the itinerary, sightseeing or meals not included in the itinerary, services not mentioned in the tour, and any other items of a personal nature.

All information and pictures on our site have been checked for accuracy but shall not be construed as part of this contract. If an error occurs, the final word shall be that of the tour operator. Our company reserves the right to increase or decrease published prices without prior notice. Several factors may influence fares, including but not limited to increases in government-imposed taxes, transport-related fees or surcharges (including fuel), or currency fluctuations.

In such cases, Nile-Cruise-Egypt.com reserves the right to ask the client for a supplement to cover the new cost — such as, but not limited to, new taxes or higher fuel prices — even if the client has already paid the package cost at the old price.

Children policy

  • Under 2 years: free for accommodation when sharing the parents' room, for a maximum of one child, and charged only 10% of the domestic air fare.
  • 2 to 12 years: charged 50% of total accommodation as an adult (50% of the adult single rate) and 67% of the domestic air fare.
  • Over 12 years: charged as an adult.

Accommodation

The terms we use and their meanings are as follows:

  • Double: based on sharing a twin- or double-bedded room.
  • Single: based on a single-bed room.
  • Triple: based on a triple-bedded room.
Please note: our company reserves the right to substitute hotels and/or Nile cruises of similar quality if the hotel and/or Nile cruise mentioned is not available.

Meals

Meals are as specifically indicated in each tour; no other meals are included. Please refer to the detailed itinerary of your travel package for more information about the daily meals.

Sightseeing & tours

Tours are by seat-in-air-conditioned-car basis or by air-conditioned motor coach, with bilingual guides. All entrance fees, taxes and charges are included.

Transfer

All transfers between airports and hotels and/or Nile cruises are not included in the package cost. Excess baggage charges must be paid by the passenger.

Travel documents

It is the full responsibility and expense of the client to obtain all documents required by the relevant government authorities. Clients who fail to provide the required documents may be denied boarding by the carrier or relevant authorities, with no possibility of a refund. No refund or replacement will be given for lost or stolen travel documents.

Please note: American, Canadian, Japanese, European Union and some other nationalities can obtain a tourist entry visa on arrival at any Egyptian border. Please verify the current requirements with the Egyptian embassy in your home country.

Travel insurance

We recommend that all passengers purchase travel insurance at the time of booking as added protection. Our company is not responsible or liable for loss, damage or theft of luggage or personal belongings, or for personal injury, accidents or illness. For your own protection, it is important that you have, or purchase, adequate insurance to cover these eventualities. Your insurance agent or travel agent can arrange this for you.

Client responsibility

Clients are responsible for advising our company of their intentions, goals, expectations and needs, as they relate to the proposed travel package, before the reservation is completed.

Our responsibility

Our company and its affiliates act only as agents for the passenger with respect to services provided by others. In many cases, suppliers of tour services are independent contractors to our company, not its employees — including, but not limited to, independent ground operators, tour guides, hotels, transport companies, drivers, airlines and other suppliers. Because we do not own, operate, manage, control or supervise these entities, we cannot be liable for any acts or omissions on their part, including negligence, gross negligence, or reckless or wilful acts.

Our company, its owners, agents, directors, shareholders and employees assume no responsibility for any injury, loss, damage, delay or death to person or property arising from the negligent or wilful act or failure to act of any person or third party who provides goods or services for this trip. Without limitation, our company is not responsible for acts of God, dangerous incidents of the rivers or lakes, fire, equipment failures, vehicle accidents, illness from food or otherwise, detention, assaults, theft or criminal activity, annoyance, delays, quarantine, strikes, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations, and discrepancies or changes in transit or hotel services over which it has no control.

Reasonable changes to the itinerary may be made where deemed advisable for the comfort and well-being of passengers. The right is reserved to substitute hotels, alter the itinerary and reverse the order of places visited; you will be informed of any necessary changes in good time. Our company accepts no responsibility for loss or additional expense due to delays or changes in schedules or other causes. The tour operator and its agents reserve the right to refuse to accept or retain any person as a member of a tour, and to withdraw any or all tours or any portion thereof. Baggage is entirely at the owner's risk. The liability of any air carrier for loss, delay or damage is limited to its liability as a common carrier; air carriers assume no liability for fragile or perishable articles.

Problem handling

If you have any queries or problems, please raise them with your tour guide and the hotel management immediately — do not leave your complaint until you return home. If they cannot resolve your problem, please contact the Customer Care department at our Cairo office, which operates 24 hours a day, 7 days a week. They will do their best to make you comfortable. On your return, please send us an email or letter outlining the details of your concerns.
